Before an outside cleaning visit, agree who releases each unit, where it will wait, how its condition will be recorded, and who accepts it back. Use the handoff worksheet below to organize those decisions with your facility team and MB Floor Solutions. Confirm equipment and responsibilities

MB Floor Solutions lists cleaning services for stretchers, wheelchairs and WOW stations (mobile workstation carts) for healthcare facilities across South Florida.

Send MB an inventory of the equipment you want included. Ask which models and materials it accepts, whether powered units and electronics are in scope, where the work will take place, and what checks each side will complete. Confirm the visit window and which tasks remain with facility staff.

  • Which equipment types, including any powered or electronic units, are in scope, and which are not?
  • How should units with visible damage or other concerns be handled, and by whom?
  • Who provides escorts or access to the work area?

Match instructions to each model

For wheelchairs, Sunrise Medical recommends checking the owner's manual before cleaning. Its article describes machines into which manual wheelchairs are loaded for cleaning, and notes that some power wheelchairs should not be cleaned in those machines because of their electrical components.

For each wheelchair, stretcher or WOW cart model on your list, gather the relevant documents your team can provide. Include your facility's shared-equipment policy and notes about electronics or accessories. Name a facility contact to confirm which instructions apply and resolve the provider's questions.

Agree batches and staging locations

Ask the facility contact which units can be released for the visit and who can authorize each batch. Name a backup contact and list unavailable units with a short reason. Agree the batches with MB before assigning a pickup window.

Then agree on staging with the provider. One option is two named locations: one for units handed over for cleaning and one for units returned and not yet accepted. Write the location names down so staff and technicians use the same terms.

Use two handoff records

Use the following fields to record the outgoing equipment, the provider's completion report and the facility's acceptance. Keep the entries brief enough for both teams to complete.

Handoff 1: out for cleaning

  • Agreed equipment identifier and equipment type
  • Release contact, time and pickup location
  • Expected batch and planned visit window
  • Observed condition, such as visible damage or missing parts
  • Unavailable units and reason
  • Unresolved questions about scope or instructions

Handoff 2: back from cleaning

  • Units completed, units not completed and the reason
  • Damage or concerns noticed by either side
  • Agreed staging location, provider contact and time

Acceptance

  • Name and role of the facility person who accepted each unit
  • Time and location returned to
  • Follow-up needed

Agree who is authorized under your facility's procedures to accept a cleaned unit back. Keep that acceptance entry separate from the provider's completion entry, and record any follow-up against the equipment identifier.

Also agree who takes equipment to the staging area and who collects it after acceptance. Record those responsibilities beside the locations on the visit plan.
